On Walmart Fulfillment Services (WFS) orders, Walmart often refunds the customer before the item comes back. If the return is never processed and no reimbursement appears, you can dispute it, but not right away. That window opens 90 days after the return was initiated and stays open for 45 days. Other return problems have their own start dates. Here is each window, the proof Walmart asks for, and what’s excluded.
WFS return dispute windows
| What happened | Dispute window opens | How long it stays open |
|---|---|---|
| Return refunded, item not processed and no reimbursement | 90 days after the return was initiated | 45 days (day 90 to day 135) |
| Return processed, but the item never came back to you (items set to return to seller) | 45 days after processing at the return center | 45 days (day 45 to day 90) |
| Wrong item, missing items, or a damaged item graded as sellable | The date tracking shows the return delivered | 45 days |
| Return dispositioned incorrectly (for example, it should have been returned to you) | The received scan date at the return center | 45 days |

Why can’t you dispute a missing return on day 30?
Because the window isn’t open yet. For a return that was never processed, it opens on day 90 from the day the return was initiated, and requests must be submitted within 45 days of the window opening.
This is where sellers lose the claim. They check a few weeks after the refund, see nothing to file, and don’t look again. For each refunded return with no item and no credit, note two dates: the day the window opens and the day it closes.
One more limit from the same guide: if Walmart can confirm receipt and disposition of the item at the return center, it won’t reimburse you for a “not processed” dispute.
Where to find these returns and how to file
- Pull the Customer returns report. In Seller Center, WFS reports include a Customer returns report with the detail for each returned order, including the return reason.
- List returns with a refund and no outcome. No processing record, no unit back in stock or back with you, and no credit in your Settlement report.
- Open the dispute when the window opens. Walmart’s guide says to contact Seller Support to create a case.
- Check the Settlement report for the credit after the decision.
What does Walmart ask for in a dispute?
- One case per order. Put every item from that order in the same case.
- Three attempts to supply missing information. After that the case is closed.
- Files no larger than 5 MB. Compress photos before you upload.
For a return that came back to you damaged or wrong, Walmart asks for photos:
- The package with its tracking label.
- The product, showing the order ID and the UPC sticker.
- For a wrong item: every item you received, and the wrong item with the order ID and UPC.
- All pages of the pack list.
Take these before you move or repack anything.

What can’t be disputed?
Walmart’s WFS returns guide lists returns it won’t reimburse:
- Items with Keep It rules applied, where the customer keeps the product.
- Returns and refunds you started yourself.
- Returns Walmart Customer Care approved outside the normal return window.
- Unsafe items and returns flagged as fraud. Walmart doesn’t send fraudulent items back, whatever your return settings say.
- Locked devices and devices with the wrong serial number.
- Missing accessories that aren’t essential to the product.
- Damaged and unsellable items, if you set a “return to me” rule for them.
Walmart’s dispute standards, updated December 10, 2025, add three rules that apply to every dispute:
- One dispute per item. A second request for the same item is treated as an appeal of the first.
- No disputes on refunds or returns you initiated, items with Keep It rules, or returns under the Extended Returns program.
- False, misleading or inaccurate information can lead to warnings, suspension or termination.

Which WFS returns cost you nothing?
Walmart pays the return processing cost on returns it marks as Walmart fault. The guide lists items damaged or lost in transit, late arrival, the wrong item shipped, orders that couldn’t be delivered, a damaged shipping box, and packages lost after delivery. You pay return processing and return shipping on returns marked seller fault or customer fault.
If a Walmart-fault return shows as a deduction in your Settlement report, raise it.
How much does Walmart pay?
Walmart’s guide says seller-fault and customer-fault returns that aren’t sent back as requested are reimbursed at a reduced rate, based on Walmart’s best valuation estimate for unsellable items of that type.
Can you appeal a denied dispute?
Once. Walmart’s appeal guide says you may appeal a dispute decision only one time, within 30 days of the decision. Walmart treats the appeal result as final, and warns that pushing further can lead to a performance review, suspension or termination.

If you ship your own orders
Seller-fulfilled returns run on a shorter clock:
- 48 hours to act. If you don’t act on a return within 48 hours, Walmart Customer Care can refund the customer for you.
- 45 days to dispute. You can dispute a Customer Care refund within 45 days of the return date, with the return label, tracking and product photos.
- Failed deliveries. A refund on a failed delivery or return to sender can be disputed within 45 days of the refund date.

Common mistakes
- Checking once and giving up. The missing-return window opens on day 90, not at the refund.
- Disputing Keep It items or refunds you issued. They’re excluded, and weak disputes put the account at risk.
- Filing the same item twice. The second request uses up your one appeal.
USA vs Canada
Walmart.ca in-store returns have a late window too. The dispute option for an in-store return that was never received, or was received unsellable, runs from about day 91 to day 120 after the return date. Returns accepted outside the return policy can be disputed within 45 days. Walmart’s own Canadian pages disagree: one gives up to 180 days for in-store returns. Filing between day 91 and day 120 fits both, but confirm the dates shown for your return in Seller Center. Photos are required.
